Handling Wedding Guest Communication


One of the hardest parts about making changes to your wedding comes down to keeping your guests in the loop. How do you reach out to them, what do you say, and are they going to be okay with your decision? Those are all valid concerns and today I wanted to walk you though how to approach your guests through all of your wedding changes.

How To Communicate With Guests

Option 1. Create A Wedding Facebook Group.

Nearly everyone is on Facebook these days and it can be a great way to keep everyone in the loop. Here you will be able to share wedding updates and you will also be creating a built in support system for you and your fiance.

Options 2. Send 'Paperless' Invites.

I know this might sound odd, but sending paperless invites via email can be a great way to share the news. Now only will it grab your guest's attention, but it also make your changes feel more positive. If you go this route, my favorite is Paperless Post!

Option 3. Call / Text All Your Guests.

Having to reach out to each guest individually can seem like a very daunting task, and I would recommend using this on-top of either creating a Facebook Group or sending out 'Paperless' Invites. This would be more for those guests who you can't reach via email of Facebook, or who you want to reach out to personally.

Option 4. Ask For Help.

Trust me when I say there are LOTS of people who want to help you!! Don't be afraid to ask your family and close friends to help you spread the word. It will also give them something to do while being stuck in their house for the coming weeks.

What To Say To Guests?

Now that you know how to reach out to your guests, what in the world do you say? Below are a few basic templates we have put together to help you get the conversations started:

Template For Postponing

Dear Family & Friends,

It is will a heavy heart that in lieu of everything going on in the world, _________ and I have decided to postpone our wedding. We do not want to risk the health of our family, friends and vendors and are currently working on selecting a new date.

We can't even begin to tell you how much we appreciate all of your support and we we cannot wait to celebrate with you once things begin to normalize.

Stay tuned for a new date coming your way soon and in the meantime please stay safe and healthy!

Template For Canceling

Dear Family & Friends,

It is will a heavy heart that in lieu of everything going on in the world, _________ and I have decided to cancel our wedding. We do not want to risk the health of our family, friends and vendors and are not in a place to reschedule at the moment.

We can't even begin to tell you how much we appreciate all of your support and apologize for any inconvenience this may cause you.

Thank you for understanding!

Template For Decreasing Guest Count

Dear Family & Friends,

It is will a heavy heart that in lieu of everything going on in the world, _________ and I have decided to forgo a large wedding for a more intimate affair. We do not want to risk the health of our family and friends and feel it is in everyone's best interest.

With that being said, we can't even begin to tell you how much we appreciate all of your support and we hope to hope a larger and less floral celebration in future.

We apologize for any inconvenience this may cause and want to thank you in advance for understanding our decision.

Template For Hosting A Virtual Ceremony:

Family & Friends,

It is will a heavy heart that in lieu of everything going on in the world, _________ and I have decided to forgo a large wedding for a more intimate affair. We do not want to risk the health of our family and friends and feel it is in everyone's best interest.

While we feel like it is in everyone's best interest to stay at home, we would love for you to join us virtually! Please join us in celebrating from the comfort of your own home at (time) on (date). In order to join, please click the link below to celebrate with us!
